On this tab, you can enter general information about sales of the fixed assets.

Note that the required fields are: Company, Contract, Emirate, and Entity.

<Auto> in the Number field indicates that a number for this document is assigned automatically when you save the document. The From field is populated automatically with the current business date. You can select another date, if necessary.

Use the Company field to specify who purchased the fixed assets. In the Contract field, select the related contract.

In the Emirate field, select the emirate of the buyer.

In the Entity field, select an entity of your company for which this document is being prepared. The Entity field is available if the Multi-Company Accounting option is selected on: Administration > Settings> General Settings. You can select your personal default entity to appear in documents; for this, refer to Personal Settings. If you have not selected your default entity, the entity, which was defined first, will be used as the system default value.

Use the link under the Entity field (in the screenshot above, the link is AED, VAT Applied, Prices Do Not Include VAT) to change the taxation settings if applicable; for more information, refer to The Prices and Currency dialog box.

You can link this Fixed Asset Sale document with a project from the Projects list if the Project Costing functionality is turned on on the Administration > Settings > Project Costing form. If the fixed assets are being sold for multiple projects, the Project field can be moved from the Main tab as a column to the table on the Fixed Assets tab. For this, use the Settings button on the toolbar (for more information, see Document Toolbar).

If the Enable Project Tasks option is selected on the Administration > Settings > Project Costing form, you can link the entire document with a specific project task or different sold fixed assets with different project tasks. By default, the Project Task column is available on the Fixed Assets tab. If needed, you can move it as a field to the Main tab. For this, use the Settings button on the toolbar.

The Comment text box can be used to specify any additional information about this sale.

The document totals and other Information

At the bottom of the form, you can view who created this document and the current status of the document; it can be one of the following:

  • New (document was created, but not recorded to the database)
  • Not Posted (document was recorded, but not posted)
  • Posted (document was posted)
  • Marked for Deletion (document was marked to be deleted)

The VAT field is populated with the tax total in the accounting currency if the sale is subject to VAT.

The Total Due field is populated with the sales total in the document currency.
You can use the button next to the Prepayment field to select the prepayment received from the company-buyer. Then, the Prepayment field will show the prepaid amount. To offset prepayments automatically, use the option available via the Settings button.

The Generate Tax Invoice button

You can generate a tax invoice for this document—first, you need to save the document—in one of the following ways:

  • By clicking the Generate Tax Invoice button at the bottom of the form.
  • By clicking Generate on the toolbar and then selecting Tax Invoice from the drop-down list of options.

All the details from this invoice will be copied to the tax invoice.

The toolbar buttons

After filling out the tab, click the Save button to save your work. After filling out all the tabs, click Post to post the document without closing it or Post and close to post and close the document.

To register an incoming payment for the fixed asset, click the Generate button and select the required option from the following:

  • Cash Receipt
  • Bank Receipt
  • Cheque Received
  • Tax Invoice

Click the Settings button to open the Document Settings dialog box where you can select some of the options available for the document.

You may need to move the Project or Project Task fields from the document header (the Main tab) as columns to the table on the Fixed Assets tab or back. Similarly, you can decide whether you need the Project Task field or Project Task column.

Once you are done with the option selections, click OK to save the settings and close the dialog box or Cancel to close the dialog box without any changes to the settings.
