Using document barcodes and barcode scanners can make document management easier. Currently, the product supports one-dimensional (1D) barcodes.

Scanning a barcode on "paper" document helps easily locate the corresponding "electronic" document in the system. For example, if you have a printed Invoice with barcode, open the list of Invoices in your system, scan the barcode, and an electronic version of the Invoice immediately opens in the system.

Setting up the functionality of document barcodes

In FirstBIT ERP, to turn on the functionality of document barcodes, open the Administration > Settings > Service Settings form and select the Use Print Form Barcodes option under the Document Number Template heading.

Then, click the Document Prefixes link on the same form – the Document Prefixes form opens. Here, you can view the list of various types of documents (available in accordance with the configured functionality) with prefixes used in document numbers. Green marks in the Use Print Form Barcodes column indicate whether barcodes will be used in the "paper" versions of specific documents. Initially, there could be no green marks.

To add barcodes to printed versions of documents of specific types, select the document type and double-click it. The Document Prefixes dialog box appears.

Make sure that the correct document type is selected in the Object field.

Select the Use Print Form Barcodes check box.

Barcode format

For document barcodes, a 128-bit code is used. Barcode includes a document prefix and internal reference number.

Generating document print versions with barcodes

Open a list of specific documents for which you decided to use document barcodes, that is, selected the Use Print Form Barcode check box.

Open any document and click Print on the form toolbar – a version of the document for printing will be generated.

Notice a one-dimensional barcode on the top of the document, to the right. You can print the document on paper using a connected printer.
