The Main tab of the customs declaration is used to provide general information on the document including the following: the date and number of the original declaration, the parties of the transaction.

You create a document of the Customs Declaration type manually or by generating it from the Invoice Received for the imported goods. In any case, you will need to manually enter some important information from the actual (paper) customs declaration that your company or its customs agent used to clear the imported goods with the Customs.

If, on behalf of the company, your customs agent cleared the imported goods with customs, select the Customs Clearance Performed by Third Party check box. In the Company field, select the customs agent or create a record for this customs agent in the Companies catalog.

If your company cleared the goods with the customs by itself, make sure the Customs Clearance Performed by Third Party check box is cleared. In the Customs field, select the customs office or create a new record for it in the list of Companies.

The Contract field is populated automatically with the default contract of either the customs agent or the Customs. If necessary, you can select or create another contract.

<Auto> in the Number field indicates that a unique number (in the database) for this document will be assigned automatically once you save the document. The From field is populated automatically with the current business date. You can select another date if necessary.

In the Entity field, select an entity of your company for which this document is being prepared. The Entity field is available if the Multi-Company Accounting option is selected on: Administration > Settings > General Settings. You can select your personal default entity to appear in documents; for this, refer to Personal Settings. If you have not selected your default entity, the entity defined first will be used as the system default value.

In the Declaration Number field, enter the number from the actual declaration.
In the Tax is Due field, you can select one of the following options:

  • In the Tax Return: To indicate that the VAT amount due for the import was not paid and must be recorded on the VAT Return.
  • On the Supply: To indicate that the VAT amount due for the import was paid at the Customs office. This enables the VAT was Paid in field by using which you can specify the particular GCC country where the tax was paid.

In the Service charge box, you can enter the amount (in the national currency) that you (or your customs broker) paid to the Customs for their services.

If the Customs had applied any penalties to your company, make sure the Apply Customs Penalties check box is selected and type the amount in the Customs Penalty input box that appears along with other fields to be used to enter the penalty-related information.

You can select an expense account to be used for penalties in the Expense GL Account input box. Also specify the department, expense Item, and business activity  in the respective fields as analytics for expenses incurred by penalties.

The document totals and other Information

At the bottom of the form, the CIF Foreign Value field shows the CIF (Cost, Insurance and Freight) amount of the imported goods in the foreign currency (the currency of the invoices received). The CIF field shows the CIF amount in the national currency.

In the VAT (Reverse Charge) field, you see the VAT amount calculated for the document under the reverse charge mechanism.

The Total Due field shows the amount that is due for this document, that is the sum of the customs duty amount, service charge, and any penalties.

In the Prepayment field, you can see the amount of prepayment that was linked to this customs declaration. To select a payment document, click the button to the right of the field.

Also, at the bottom of the form, you can view who created the document and the document current status; it can be one of the following:

  • New (document was created, but not recorded)
  • Not Posted (document was recorded, but not posted)
  • Posted (document was posted)
  • Marked for Deletion (document was marked to be deleted)

The toolbar buttons

After filling out the tab, click the Save button to save your work. After filling out all the tabs, click Post to post the document without closing it or Post and close to post and close the document. For descriptions of other buttons, see Document Toolbar.
