To Using this form, you can add a new warehouse , press the ‘Create’ button on the toolbar of the respective catalog. To edit the existing one, double click the line with its name. You can also select the line, press the ‘More’ button (in the upper right corner) and click ‘Edit’ in the drop-down list. You can right-click the line instead of pressing the ‘More’ button.

In the create form, only the Description field is required. Description will be displayed in the system interface, in the drop-down lists, and in the documents print forms.

Warehouse (create) form

The catalog has a hierarchy structure. To form a dependency, select the parent warehouse in the Parent field (to open the catalog to select from, click the ‘Show all’ hyperlink in the drop-down list). If the parent warehouse has not yet been added, first save the current warehouse (press the ‘Save’ button) and then create the parent by pressing the Image Removed button in the same drop-down list or by clicking the ‘Create’ button in the displayed window of the Warehouses catalog.

In addition you can specify the warehouse attributes: Order and/or Cellular (to learn how to create the cellular structure, please see par. Create cellular warehouse structure). Please note that enabling ‘Order’ attribute will expand the typical document flow in the system. If the warehouse has been already used in some documents, you cannot change those attributes (in this case you will see the locked padlock next to the attributes).

In addition, you can assign a responsible person in charge of material valuables by selecting this person in Individuals in the Responsible field.

After completing the form, press ‘Save and close’ or ‘Save’ to save the applied changes. When saving a new item, the system will assign it a unique code that can be editedmaster record.

On this form, there are two required fields: Description and Entity.

The "Warehouse (create)" form

If the new warehouse is a structural unit of a larger warehouse, in the Parent field, select the larger warehouse or create a record for it.

<Auto> in the Code field indicates that the system will assign a unique identifier to the new warehouse once you save the record.

Make sure that the Entity filed is populated with the the entity which owns the warehouse.

In the Description field, provide a brief description for the warehouse – this description will be displayed on the system interface and will designate the warehouse in drop-down lists.

The Type field is populated with the default type of warehouses, Warehouse. If needed, you can select one of the following types: Retail or Department.

The Separate Warehouse and Financial Documents option is available for the warehouse if the Separate Warehouse and Financial Documents option is selected on the Administration > Settings > Purchasing and Warehouses form.

If selected, this option indicates that in this warehouse for registering the goods movements, the following documents must be used:

  • Goods Receipt Notes: To register the goods received to the warehouse as a result of purchases, customer returns, inventory transfers, and stocktaking.
  • Goods Dispatch Notes: To register the goods issued from the warehouse as a result of sales, returns to suppliers, inventory transfers, and stocktaking.

The Use Bin Locations option is available for the warehouse if the Use Bin Locations option is selected on the Administration > Settings > Purchasing and Warehouses form. Select this option if you want to specify particular locations in this warehouse for each item.

In the Responsible field, you can specify an employee who is responsible for inventory stored in this warehouse.

The toolbar buttons

Click the Save button to save the new warehouse or the Save and close button to save the warehouse and close the form.

Available links

If the Use Bin Locations option is selected for this warehouse, you can use the Bin Locations link (above the toolbar) to view or define a hierarchy structure of bin locations for the warehouse. Before you click the link, make sure that you saved any changes to the warehouse. For details, refer to Warehouse Bin Locations.
