To access the form, click: Accounting > See Also > General Ledger.

The General Ledger form can be used to view all the General Ledger Transactions recorded in General Ledger including the following ones:

  • Manual journal entries recorded by using the Transactions (General Ledger ) form.
  • Automatically generated journal entries on posting various documents.

The General Ledger Transactions list

The list of GL transactions includes all the GL transactions available in the system. If you don't see a specific transaction, rearrange the list by date or transaction number or use the Search field to locate the transaction by a string in its description, company name, or contract number. You can change the list display settings to suit your particular needs. To learn more about the list display settings, see Working with the item list.

To filter the transactions list, you can use the following fields above the list:

  • Account: Select here a particular account of interest.
  • Entity: Specify the entity for which you want to view the transactions.
  • Recorder: Select here a type of documents which was the source of generated GL Transactions.

Note. According to the double-entry rule of accounting, each transaction includes two journal entries-- Credit journal entry and Debit journal entry; both recorded in the same table row.

The Period column provides information on financial period of the GL transaction. Below in the same column, you can view the following:

  • Recorder: The type of document which is the source of transaction.
  • Entity: A particular entity associated with the transaction.

In the Account Dr column, you can view a GL account that was debited by the transaction. Below, you can view the related department if for the debit account the Accounting by Department option was selected on the Accounting > See also > Chart of Accounts form.

In the Dr Dimension 1/ Dr Dimension 2/ Dr Dimension 3 column, you can view the dimensions used for the debit GL account according to dimensions selected on the Accounting > See also > Chart of Accounts (COA) form.

For GL accounts that have the Quantitative option selected on the COA, you can view the quantity of item involved in this transaction on the debit side. For accounts (on the debit side) that use a foreign currency, the currency and amount in this currency are specified.

the Account Cr column, you can view the GL account which was credited by this transaction. Below, you can view the related department if for the credit account the Accounting by Department option was selected on the Accounting > See also > Chart of Accounts form.

In the Dimension Cr column, you can view the dimensions used for the credit-side account according to the dimension selected on the Accounting > See also > Chart of Accounts form.

For GL accounts that have the Quantitative option selected, you can view the quantity of item involved in this transaction on its credit side. For accounts (on the credit side) that use a foreign currency, the currency and amount in this currency are specified.

In the Amount field, you can view the amount of transaction in the accounting currency.
