Items GL Accounts are set by default but you can edit them both for the items group and for any item individually.

  1. Edit GL Accounts for a specific item

To edit GL Accounts for the new item, first press ‘Save’ and then press the ‘Edit GL Accounts’ button because the system does not allow transactions with the items without saving them. If you edit the previously created item, you can press the ‘Edit GL Accounts’ button right away. To learn how to access the item create form, please see par. Create and edit items.   1.  Edit GL Accounts for a group of items

To edit GL accounts for the items group, please go to the group (folder) edit form. To do so, right-click the line with its name and select ‘Edit’ from the drop-down list. You can also select the line, press the ‘More’ button (in the upper right corner) and click ‘Edit’ in the drop-down list. In the displayed items group create and edit form press ‘Edit GL Accounts’. To edit any of the selected accounts, press the Image Removed button located to the right of the respective field. To apply the changes, press the ‘Save and close’ or ‘Save’ button in the displayed editing form.

To apply changes to the selected GL accounts, press the ‘Save and close’ button.

The list includes all sets of default GL accounts that are used for items in your application for sales, purchase or other transactions.

To open this form, click the Items GL Accounts link on the Sales > Master Data > Items form.

This list includes all the default accounts that are used for items. You can choose to use the same default GL accounts for all items of each item type, or you can assign specific accounts to be used for particular type of items, or for particular items.

The GL accounts that will be used for any items of any item type are listed in the table's first row with no item description in the Item column and no item type in the Item Type column. This is the predefined setting.

The GL accounts to be used for items of the particular item type are presented in a row with no specific item in the Item column and this item type selected in the Item Type column

When you post a transaction associated with a particular item, the program will use the default accounts as follows:

  1. From a specific set of accounts defined for this item if there is such a set.
  2. From a specific set of accounts defined for the item group to which the item belongs if there is such a set.
  3. From a specific set of accounts defined for a item type to which the item belongs if there is such a set.
  4. From the default set of default accounts initially intended for all items.
