    • If items are not in stock→ A Purchase Order (PO) is created based on the Customer Order. Stock is reserved only when the vendor supplies the goods. If financial and warehouse documents are managed separately, reservation happens when the Goods Receipt Note (GRN) is created instead of the invoice.


         3. Reservation Cancellation (Stock is Released)

    • When the order is processed (invoice or dispatch), the reservation is removed.
    • Reservation can be canceled by:
      • Inventory Reserves (cancel reserve transaction)- 
      • Invoice
      • Goods Dispatch Note

  

2) The DATE date and/or TIME time of the Basis document in the chain of document should precede a document chain must always be earlier than that of the dependent document.

If Reserve creation document date will be after Reserve Cancellation document

  • Cancellation will not be performed, 
  • Financial document can create the 2nd reserve. 

For example, if you create a Reserve Creation Document is dated after the Reserve Cancellation Document, the cancellation process will not be executed. Additionally, a financial document may generate a duplicate reserve.

Example Issue:

If you create a Goods Receipt Note and Invoice Received with using the current date and create but backdate the Invoice and Goods Dispatch Goods Dispatch Note backdated, in this case your reserves will be still showing in the reports, and you can see double reserve reserves may still appear in reports. This could lead to duplicate reserves on the same Customer Order or you can face with trigger an "Insufficient stock" error while when posting the Invoice or Goods Dispatch Note. 


4) The best most effective way to check verify the current stock of the an item and its reserves is to check by using the Availability Analysis report in within the Item Card (Open Item Card and go to the link Availability Analysis. Here if you double.

To access this:

  • Open the Item Card
  • Click on the Availability Analysis link
  • Double-click on the Reserved Items figure

6) If you see here the notice reserves that should be have already been removed , then check if: in the Inventory Reserves Report, verify the following:

  • The correct Customer Order Order is specified referenced in the dependent documents The reserve creation documents precede (.
  • The Reserve Creation Document has a date and/or time ) the reserve cancellation document.  earlier than the Reserve Cancellation Document to ensure proper processing.
